11.1: Academic Advising

POLICY

  1. All student schedules must comply with the CEP-approved post-clerkship graduation requirements.
  2. Students must develop their post-clerkship phase schedule with the guidance of their academic coach.
  3. Student schedules are to be finalized by September, where all required and elective coursework enrollments are fulfilled to meet graduation requirements.
  4. Students may not make changes to their schedule past the eFlight closure date of the first Friday of February unless in support of enrolling in coursework to meet graduation requirements.
  5. Courses will only receive credit if they appear on the student’s schedule before the first day of class; retroactive additions will not receive credit.
  6. Clerkship Phase required courses (core clerkships) do not count toward the post-clerkship required weeks.
  7. Post-Clerkship credit may be earned for Didactics, Research, and Advanced Clinical Clerkships taken during the Selective Clerkship.
  8. No more than 8 weeks of any course will count toward the post-clerkship graduation requirements.
  9. With the approval of the Curriculum Enrichment Advisory Committee, international rotations may count toward graduation requirements.
  10. With the approval of the sponsoring UCD School of Medicine department, coursework completed at other institutions (e.g., away rotations) may count toward graduation requirements.
  11. All approved away rotations must be completed within the initial Spring, Summer, Fall, and Winter quarters of the post-clerkship phase academic year.
    1. No away rotations will be accepted for review or approval in the final Spring quarter before graduation.
    2. An exception for away rotation enrollment in the Spring quarter before graduation may be made for extenuating circumstances with the approve of the Associate Dean for Students and the Post-Clerkship Curriculum Manager.

PROCEDURE

  1. All students must meet with their academic coach between December-March of their clerkship phase year to prepare for the submission of course requests into the online scheduling system eFlight.
  2. Academic coaches and students can monitor their compliance with the post-clerkship graduation requirements via the Academic Dashboard.
  3. The Post-Clerkship Phase Curriculum Manager will notify the academic coach and the student if the student is out of compliance with graduation requirements in the Fall and Winter.
