Leadership message: Migrating Health staff to the new Microsoft 365 health environment

Dear Colleagues,

After a significant amount of planning and design, the Microsoft 365 Migration project is now ready to move into the next phase for evaluation and testing by our Information Technology experts. Between now and the end of February 2025, IT groups will slowly be moved to the newly built Microsoft 365 health environment.

What is the Microsoft 365 migration project?

The Microsoft 365 migration is the process of moving your email and calendar (your “Office 365 data”) from one system to another. This includes your email messages, contacts, calendars, tasks, notes, and settings.

Email changes

Your email address will change from your current @ucdavis.edu address to the new @health.ucdavis.edu. Emails sent to your current @ucdavis.edu address will still reach you, and you will still be able to access your email, calendar, tasks, notes, and Teams services using the same methods as before.

Who is affected?

This migration will impact all UC Davis Health faculty, staff, and students, including all Microsoft 365 accounts. To ensure the smoothest transition, the migration will begin with the Information Technology team before it will be rolled out in stages to the rest of the enterprise.

As the IT team (and future teams) are migrated, you will see the following changes:

  • Health employees that have been migrated will have parenthetical suffixes appended to their name and will appear as First name Last name (UCD Health) in some applications.
  • Health employees may join existing meetings as First name Last name (UCD Health), or as username@health.ucdavis.edu.

When will the migration happen?

IT pilot testing will run through February 2025. Every department at UC Davis Health will eventually be migrated, and the project team will consult departments regarding scheduling and any special considerations that must be addressed. The team will work during optimal times so we don’t affect patient care and school schedules.
