SharePoint migration - Coming Friday, 8/22 at 9 p.m. – Monday, 8/25 at 6 a.m.

The Microsoft 365 (M365) Migration team is pleased to announce that it is ready for SharePoint migration.

Similar to the email migration, this SharePoint migration involves transitioning SharePoint sites from the Campus environment to the new, more secure Health environment. Once your site has been migrated, you’ll use your Health email credentials to access SharePoint.

We highly recommend that all users read the FAQ document and the Customer documentation before submitting tickets.

SharePoint Migration: Friday, 8/22 at 9 p.m. – Monday, 8/25 at 6 a.m.

During the migration timeframe, it is important that users do not update their SharePoint sites during the migration, as these changes may not be reflected in the new site. The M365 team recommends waiting until after the migration is complete to make updates to SharePoint sites.

Why does SharePoint need to be migrated over to Health?

SharePoint must be migrated to the new Health environment to take advantage of its enhanced security features, which are designed to better safeguard patient data and protect privacy.

When will SharePoint be migrated over?

SharePoint will be migrated from Friday, 8/22 at 9 p.m. – Monday, 8/25 at 6 a.m.

Can I still use SharePoint during the downtime?

You can still access and view SharePoint during the migration downtime; however, the M365 team recommends not making any updates during this time, as these updates may not be synced over to the new site.

How does Impact Me?

Your old Campus SharePoint URL will be locked down after the migration to read-only. Locking down the old site to read-only ensures users are not updating the old SharePoint sites.

  • What is my new SharePoint site URL?

    • Your old SharePoint URL will change from Campus to Health. This means that links will break and will need to be updated. Additionally, any automations, workflows, forms, etc., will need to be updated or rebuilt on the new site after the migration is complete.
  • Where do I get my new SharePoint site URL?

  • Will user permissions carry over?

    • In some cases, Health users may not automatically retain access. You might need to re-add them manually. 
    • Campus users will lose access to migrated SharePoint sites and must be regranted access by the site owners. 
    • External users cannot be regranted access automatically. They must submit a ticket to Cybersecurity for approval here: Cybersecurity Consulting Request - IT Self Service. Inside the Brief Cart Title, please include the following information:
      • Full Name of User
      • Company Name
      • Full Email Address
      • Data Type
      • SharePoint Site Link URL
      • Teams Link URL
  • What happens to my documents on the old SharePoint site?

    • The last five versions of documents will be migrated over to the new SharePoint. If you need additional versions, you will need to download those from the old site and upload them to the new site.
