UC Davis Health to implement new e-signature solution starting this fall
Information Technology (IT) will begin introducing a new enterprise-wide e-signature solution for health operational and administrative use starting this fall. Adobe Acrobat Sign will be the approved e-signature platform for UC Davis Health, replacing Docusign for UC Davis Health-related administrative processes for most employees.
Why is this changing?
UC Davis Health identified the need for a cost-effective, secure e-signature solution that better aligns with the organization's new Microsoft 365 UC Davis Health environment. Adopting Adobe Acrobat Sign will provide a standardized platform for operational and administrative workflows across the organization.
When will this transition occur?
IT is working closely with Adobe to ensure a smooth implementation. The transition to Adobe Acrobat Sign is being phased in, starting in October.
Who will be affected by this change?
This change will affect the majority of employees who use e-signatures for UC Davis Health-related operational or administrative responsibilities. These users will be required to use Adobe Acrobat Sign moving forward.
Who is not affected?
At this time, the following will not be required to use Adobe Acrobat Sign and will continue to use Docusign:
- School of Medicine
- Users who are conducting bonafide research (including Part 11)
- Approved Home Health and Hospice users
- Human Resource employees
What do users need to do to prepare for the transition?
Users should begin taking the following steps:
- Download and save all historical documents that will be needed post-transition, from Docusign to a secure UC Davis Health-approved storage location.
- Review and take inventory of all Docusign templates that need to be downloaded and migrated to Adobe Acrobat Sign.
For frequent Docusign users
Users identified as high-impact or frequent Docusign users will automatically migrate to Adobe Acrobat Sign. These individuals will be contacted directly with specific instructions and timelines for the transition.
For all other users
If you require an e-signature account for initiating or routing documents needing legal e-signatures after the transition begins, you will be able to request access to Adobe Acrobat Sign through ServiceNow (a new ServiceNow self-service catalog item is coming soon).
Training and Support
Additional information, training materials and support resources will be provided as the migration date approaches. Adobe Acrobat Sign implementation support will also be available to help users become familiar with the new platform.
